What is a Certified Copy (CC) of a Registered Deed?
A Certified Copy (also written as CC or Certified True Copy) is an officially attested copy of a registered document - Sale Deed, Gift Deed, Will, Lease Deed, Power of Attorney, Relinquishment Deed, Mortgage Deed, Partition Deed - issued by the Sub Registrar Office where that deed was originally registered.
The Certified Copy carries:
- The official seal of the Sub Registrar
- The signature of the issuing officer
- A unique Certified Copy serial number
- A statement that the copy has been compared with and is true to the original entry in the SRO register
Legal weight: Under the Indian Evidence Act and the Registration Act, 1908, a Certified Copy issued by a Sub Registrar has the same evidentiary value as the original for bank loans, mutation, court filings, sale of inherited property, and almost every other practical purpose.
When You Need a Certified Copy in Delhi
You should apply for a Certified Copy in any of the following situations:
Original Deed Lost / Damaged
Most common reason. CC + FIR + indemnity bond replaces the lost original for all legal purposes.
Home Loan / Loan Against Property
Banks require an authenticated copy of the deed if the original is with another bank, or in case of resale.
Property Mutation (MCD / DDA / L&DO)
Mutation authorities ask for a CC of the deed by which you acquired the property.

Step-by-Step Process to Get a Certified Copy

1Identify Deed Number & SRO
Find the registered deed number, year of registration, and the Sub Registrar Office where it was registered. If you only have the property address, we search for you.
2Online Search on DORIS / NGDRS Delhi
Search the deed on doris.delhigovt.nic.in (for deeds registered between 2005 and January 2024) or ngdrs.delhi.gov.in/NGDRS_DL/ (for January 2024 onwards) and confirm Index-II details.
3Prepare Application & Documents
Fill the prescribed Certified Copy application form, attach ID / address proof, indemnity bond if original is lost, and authorisation letter if applying through representative.
4Pay Government Fees
Pay the search fee + per-page fee + base attestation fee at the SRO counter (or via the relevant online challan). Keep the receipt.
5Submit at the Concerned SRO
Submit the application at the same SRO where the deed was originally registered. Note - applications cannot be filed at any other SRO.
6SRO Search & Comparison
The SRO clerk pulls the original entry from the bound register / digital archive, photocopies it, compares page-by-page, and stamps each page.
7Attestation & Delivery

Lost Original Deed - Special Recovery Process
If your original Sale Deed / Gift Deed has been lost, damaged or destroyed, the standard CC application is not enough. The SRO requires extra protection against fraud. The full process:
1File FIR / Lost Report
Visit the local police station and file an FIR or "Lost Property Report" mentioning the deed type, parties, registration year and SRO. Keep the FIR number safe.
2Newspaper Publication
Publish a public notice about the lost deed in one English daily and one Hindi daily, inviting any objections within 15-30 days.
3Indemnity Bond
Execute an indemnity bond on Rs.100 stamp paper stating that the deed has been lost, no encumbrance has been created on it, and you will indemnify the SRO and other parties against any future claim.
4Notarised Affidavit
Notarised affidavit explaining how the deed was lost (theft, fire, water damage, misplacement) and confirming you have not pledged or sold it.
5Apply at the Concerned SRO
Submit FIR + newspaper cuttings + indemnity bond + affidavit + ID proof + CC application form at the same SRO where the deed was originally registered.
6Receive Certified Copy in 15-30 Days
The CC carries the same legal standing as the original. Update your bank, mutation records and personal files with the new CC.
